How to Prepare for the Manager (Export) Position at Matribhumi Dairy Foods Limited (MDFL)

1. Understand the Scope of the Role
- The job focuses on export operations for biscuits, toast, chanachur, pasta and related items.
- Target markets are Gulf, Africa, Europe and Asia.
- Responsibilities cover buyer prospecting, market analysis, compliance with international standards, documentation, shipment coordination, packaging supervision, forecasting and marketing material development.
- You will be based at the MDFL head office in Mirpur, Dhaka and will work closely with production, quality, finance and logistics teams.

2. Self‑Assessment Checklist
- Age ≤ 40 years.
- Minimum 5 years of direct experience in food product export (total professional experience ≥ 12 years).
- Proven experience in bakery/snacks export, especially biscuits and related baked goods.
- Strong command of export documentation (LC, TT, commercial invoice, packing list, PI, certificate of origin, etc.).
- Demonstrated ability to manage international buyers and distributors.
- Familiarity with global packaging standards (foil packs, PET jars, carton strength, labeling).
- Good command of English (written and spoken) and basic proficiency in Bengali.
- Comfortable using digital communication tools (email, WhatsApp, LinkedIn) and B2B platforms (Alibaba, Tradekey).

If any of the above gaps exist, allocate time now to bridge them (see sections 4‑7).

3. Gather Industry Knowledge

a. Product Familiarity
- Study the specifications of MDFL’s existing sweetmeats, dairy, bakery and snack lines.
- Review trends in premium foil‑pack cookies, biscuits, breads and cakes in the target export markets.
- Understand shelf‑life requirements, ingredient restrictions (e.g., halal, kosher, EU food‑contact material regulations) and labeling norms for each region.

b. Market Insights
- Compile recent market reports for Gulf, African, European and Asian bakery & snack segments.
- Identify key competitors, price points, packaging formats and consumer preferences in each geography.
- Note any trade agreements, import duties or sanitary/phytosanitary measures affecting Bangladesh exports.

c. Regulatory Landscape
- Familiarize yourself with the standards of the following bodies: ISO 22000, HACCP, EU Food Law, GCC Standardization Organization, African Continental Free Trade Area (AfCFTA) food requirements, and relevant Asian standards.
- Keep a reference sheet for documentation needed for each market (e.g., health certificates, halal certificates, EU organic proof).

4. Strengthen Documentation & Financial Skills

- Review the full lifecycle of an export LC: opening, amendment, drawing, negotiation and settlement.
- Practice preparing a commercial invoice, packing list, certificate of origin and pro‑forma invoice using sample product data.
- Learn the differences between sight, usance and revolving LCs, and when TT (telegraphic transfer) is preferable.
- Use a spreadsheet to simulate cost calculation: FOB price, freight, insurance, duties, and landed cost for a sample shipment.

5. Polish Export‑Logistics Knowledge

- Study Incoterms 2020; focus on FOB, CIF, DAP and DDP as they are most used in food export.
- Understand container loading for bakery items (temperature control, humidity, ventilation).
- Review best practices for export‑grade packaging: material selection, strength testing, tamper‑evident seals, and compliance with destination country labeling (country of origin, allergens, nutrition facts).

6. Build Digital & Marketing Capabilities

- Refresh your LinkedIn profile: include keywords such as “bakery export”, “LC management”, “global buyer development”.
- Create a professional email signature with your contact details and a brief value proposition.
- Familiarize yourself with Alibaba and Tradekey seller dashboards; practice uploading product listings, managing RFQs and responding to inquiries promptly.
- Draft a one‑page product catalog template (images, specs, packaging options, MOQ, price range) that can be customized for each market.

7. Develop a Prospecting & Relationship Management Plan

- List at least 30 potential distributors/buyers in each target region (use trade directories, chamber of commerce lists, and LinkedIn).
- Categorize them by priority (high‑volume, strategic, niche).
- Design a 3‑step outreach sequence: introductory email, follow‑up with catalog/sample offer, and a closing call/video meeting.
- Prepare a sample questionnaire to capture buyer requirements (volume, packaging, certification, delivery terms).

8. Prepare Application Materials

Resume
- Header with name, contact, LinkedIn URL.
- Professional Summary (3‑4 lines) highlighting 5+ years bakery export experience, LC expertise and multi‑regional buyer network.
- Experience Section – for each role, list: company, dates, main responsibilities, and quantifiable achievements (e.g., “Secured 10 new distributors in GCC, increasing export revenue by 25% YoY”).
- Skills – export documentation, Incoterms, market analysis, packaging supervision, B2B platforms, MS Office/Excel, CRM tools.
- Education – Bachelor/Honors degree (specify field).

Cover Letter
- Address to Hiring Manager, MDFL.
- Opening paragraph: state the position you are applying for and your total years of relevant experience.
- Body paragraph 1: describe a recent export project for bakery/snack products, emphasizing buyer acquisition, LC handling and on‑time shipment.
- Body paragraph 2: illustrate your market research ability for a new region (e.g., launching biscuits in East Africa) and the resulting sales impact.
- Closing paragraph: express enthusiasm for contributing to MDFL’s upcoming confectionery line and its export expansion, and mention you are available for an interview.

Portfolio (optional)
- Samples of export documents you prepared (redacted).
- Screenshots of product listings you created on Alibaba/Tradekey.
- Brief case study (1–2 pages) of a successful buyer onboarding process.

9. Interview Preparation

- Prepare STAR (Situation, Task, Action, Result) stories for:
* Negotiating and managing an LC under tight timeline.
* Solving a packaging compliance issue that threatened a shipment.
* Conducting market entry analysis for a new country.
- Anticipate technical questions: “How do you calculate landed cost for a 20‑ft container of biscuits to Saudi Arabia?” or “What steps do you take to ensure product shelf life is maintained during sea freight?”
- Practice answering behavioral questions: “Describe a time you had to manage a difficult international buyer.”
- Have questions ready for the interviewers, such as:
* Which product categories will be the initial export focus?
* What ERP or CRM systems does MDFL use for export order tracking?
* How does MDFL handle quality certifications for different markets?

10. First‑Month Action Plan (to discuss in interview)

- Week 1: Meet production, QA, finance and logistics heads; review existing export SOPs.
- Week 2: Audit current buyer list and documentation templates; identify gaps.
- Week 3: Develop a market‑entry checklist for two priority regions (e.g., GCC and East Africa).
- Week 4: Launch a pilot B2B email campaign targeting top‑10 prospects; schedule virtual product presentations.

Presenting such a concrete plan demonstrates readiness and strategic thinking.

11. Ongoing Professional Development

- Enroll in a short course on International Trade Law or a certification like “Certified International Trade Professional (CITP)”.
- Join industry associations (Bangladesh Export Promotion Bureau, International Association of Food Protection).
- Attend virtual trade fairs focused on bakery and snack foods (e.g., Interfood Europe, Gulfood).

Final Tip
Treat every component of the preparation as a proof point you can bring to the interview. The more you can quantify your past achievements and align them with MDFL’s upcoming product lines and export ambitions, the stronger your candidacy will be. Good luck!
